Growth through acquisition left the company fragmented, with each business unit running on its own technology platform.

Specific challenges included:

  • Manual, paper-based production reporting that required numerous layers of data entry and review
  • Limited visibility into inventory across warehouses, third-party logistics providers and incoming shipments
  • Time-consuming, manual invoice entry that slowed processing and limited data accuracy
  • Inefficient customer and vendor intake workflows with multiple, hard-to-track approval levels
  • Difficulties in tracking engineering changes and overseas goods throughout the business

“Our biggest challenge was that we had three separate businesses on three different platforms, running their business distinctly different,” says Brad Beckman, Smead chief operating officer.

“These separate businesses made it harder for us to go to market as one organization or take our products to market for a specific customer,” adds Todd Sather, former Smead vice president. “Some of those platforms were antiquated. They were old and needed to be replaced.”

“The primary goal of Smead's ERP initiative was to create One Smead and have a common ERP platform that would allow their customers who are ordering from multiple business units to do so on a single order,” says David McLaughlin, Dynamics 365 industrials leader at RSM.

  • Microsoft Dynamics 365 Finance and Dynamics 365 Supply Chain Management to unify three business platforms into a common ERP foundation
  • A custom workbench within Dynamics 365 to provide a single view of customer order lines, inventory across warehouses, third-party logistics providers and incoming shipments, while enabling inventory reservations against order lines
  • The engineering change management module to track item changes and maintenance requests while keeping business areas aligned during complex changes
  • The landed cost module to track overseas-sourced goods and maintain oversight throughout the ERP system
  • An enhanced production floor execution solution to order raw materials; report on quality orders; access relevant job information around drawings, PDFs and other production instructions; and improve scrap and downtime reporting using programmable logic controller inputs
  • RSM’s xTracta optical character recognition accelerator to extract invoice data, route it into Dynamics 365 workflows and maintain digital invoice records
  • RSM’s Advanced Financials accelerator to streamline cash application for high-volume payment processing
  • A Power Automate integration between Dynamics 365 and SharePoint to streamline customer and vendor intake workflows across multiple approval levels
